Unit 3: Meetings that Do Not Drift

Clear, Courteous, Not Small

This module teaches meeting English that leaves the room with a decision, an owner, and a time. A good meeting is not a long display of goodwill. It is a short room that moves work.

If people leave and nobody knows who does what by when, the meeting was only a conversation.

Learning outcomes

  • open a meeting in 30 seconds
  • bring a drifting talk back to the decision
  • enter, disagree, and park a topic without disappearing
  • close with owner, action, and time

1. The 30-second opening

Say four things. Then stop.

  1. Purpose — why we are here
  2. Decision — what must be decided
  3. Time — how long we have
  4. Path — the first item

We’re here to lock Friday’s installation plan.
We need one decision: keep Friday or move to Monday.
We have 20 minutes.
Let’s start with the print time.

Not this
“Thank you everyone for coming. Sorry if this is a busy day. I just wanted to maybe talk a little about several things if that’s okay.”

2. One decision per meeting

Before you send the invite, finish this sentence:

By the end of this meeting, we will decide ________.

Weak purpose Working purpose

Try this
Rewrite these invites:

  1. Quick chat
  2. Project update
  3. Let’s sync

Possible answers

  1. Decide the photo set for Thursday’s post
  2. Choose a new delivery date after the printer delay
  3. Confirm who sends the client file by 3 p.m.

3. Enter the talk without shrinking

Use one line. Then put the point down.

  • One concern is the Friday print time.
  • Can I add something on the budget?
  • I have a different view.
  • Before we move on, we still need an owner for the file.

Not this
“Sorry, this may be wrong, and I don’t want to interrupt, but I just thought maybe…”

Can I add one point?
If we keep all six features, QA will miss the 20th.
I recommend we ship four now and hold two.

4. Stop the drift

Meetings drift when a side story feels safer than a decision. Bring the room back with a short hook.

Job Say this

Park itLet’s park the website redesign and come back to Friday.
Return to the askThe decision in front of us is keep Friday or move.
Cut a loopWe have two options. Do we need more facts, or can we choose now?
Hold timeWe have six minutes left. Let’s lock the owner.

The printer story is important.
Let’s park the supplier history for the next call.
Today we still need a date: Friday or Monday?

5. Decide in the room, not after the room

If the meeting can choose today, do not send people away to “think about it” with no time.

  • Do we keep Friday or move to Monday?
  • If we choose Friday, what do we cut?
  • Who can live with option B?
  • If we wait until tomorrow, we miss the courier. Can we lock this now?

Not this
“Let’s all think about it and maybe we can decide later.”

We can keep Friday if we drop the appendix.
If we want the full pack, we move to Monday.
Which one do we want?

6. Close with owner, action, time

Do not end with “Great discussion.” End with names.

To recap:
We keep Friday and drop the appendix.
Mina will send the cut list by 4 p.m.
I’ll tell the client today.
We meet again only if the printer slips.

Write the same recap in the chat or email before people stand up.

Thanks, everyone.Mina sends the file by 4. I update the client today.
We’ll follow up later.If the file is late, we use yesterday’s numbers.
Let’s stay in touch.No new meeting unless the printer slips.

7. If you are not the chair

You can still keep the room from drifting.

  • Before we finish, can we name the owner?
  • What’s the date we are locking?
  • Should I send a three-line recap after this?
  • Is this decided, or do we need another meeting?

Try this
The chair is wrapping up with “Thanks, everyone.” The decision is still unclear. Say one sentence.

Possible answer
“Before we go, are we keeping Friday or moving to Monday?”

8. Practice set

Keep each answer under 40 words.

  1. Open a 15-minute meeting to choose a vendor.
  2. A colleague starts telling a long story about last year’s event. Bring the room back.
  3. People agree in the air, but nobody has an owner. Close the meeting.
  4. You are not the chair. The group is about to leave with two options still open.
  5. Someone asks to “sync later.” You know later means the deadline dies.

Model for no. 2

That’s useful context.
Let’s park last year’s event for the notes.
The decision now is which vendor we book today.

9. Quick check

A. Thanks for coming. Sorry to take your time. I just wanted to talk about a few things.

Cultural insight

Did you know?

In many Thai meetings, harmony is protected by not forcing a close. In many international meetings, harmony is protected by not wasting the next person’s hour. You can do both: hear the person, park the side story, and still leave with a name and a time.

A peaceful meeting is not a quiet meeting. It is a meeting that does not export confusion into the rest of the week.
