Watch-out List

10 polite phrases that make professionals sound smaller

This page is a pocket guide. Use it before you hit Send. The problem is not courtesy. The problem is courtesy that hides the ask.

ในภาษาไทย คำเหล่านี้มักรักษาหน้าและรักษาความสัมพันธ์ ในภาษาอังกฤษที่ทำงาน คำเดียวกันอาจทำให้ผู้รับได้ยินว่าเรื่องนี้เลื่อนได้ ความเห็นนี้ยังไม่แน่น หรือคุณยังไม่พร้อมรับผิดชอบคำขอของตัวเอง

The rule in one line

If no mistake was made, do not open with an apology. If the work has a time, put the time in the sentence. If you have a view, say the view. Then stay polite in the tone, not in self-reduction.

1. Sorry to bother you

Thai in the head: ขอโทษที่รบกวนนะครับ

Not this
“Sorry to bother you. Could you look at the file?”

Use this
“Quick question on the file. Could you review page 3 by 4 p.m.?”

Pragmatic note
คุณไม่ได้ทำผิด แค่มีงาน คำว่า sorry ควรเก็บไว้ตอนส่งสาย ส่งไฟล์ผิด หรือทักนอกเวลา

2. Just a small idea / This is just my humble opinion

Thai in the head: นี่เป็นแค่ความคิดเล็ก ๆ นะคะ

Not this
“This is just my small idea, but maybe we should cut slide 6.”

Use this
“I recommend we cut slide 6. It repeats the same data.”

Pragmatic note
คำว่า small และ humble ลดน้ำหนักก่อนคนได้ยินไอเดีย ความถ่อมในไทยอาจดูมีสัมมาคารวะ ในอังกฤษที่ทำงานมันทำให้คำแนะนำฟังไม่โต

3. If it’s not too much trouble

Thai in the head: ถ้าไม่เป็นการรบกวนเกินไป

Not this
“If it’s not too much trouble, could you send the brief?”

Use this
“Please send the brief by 11 a.m. I need it for the noon call.”

Pragmatic note
เงื่อนไขนี้ทำให้คำขอเลื่อนได้เรื่อย ๆ ความสุภาพอยู่ที่ please และเวลาที่สมเหตุสมผล

4. Whenever you’re free

Thai in the head: เมื่อว่าง ๆ ก็ได้ครับ

Not this
“Please send it whenever you’re free.”

Use this
“Please send it by 4 p.m.”

Pragmatic note
ถ้าไม่มีเวลาตัดจบ ผู้รับจะจัดงานนี้ไว้หลังงานที่มีเวลา ในภาษาไทย “เมื่อว่าง” ฟังนุ่ม ในอินบ็อกซ์มันฟังเหมือนยังไม่เร่ง

5. Whatever you think is fine

Thai in the head: แล้วแต่พี่เลยครับ

Not this
“Whatever you think is fine.”

Use this
“Both options work. If speed matters, we should choose B.”

Pragmatic note
การไม่เถียงในไทยอาจถูกอ่านว่าสุภาพ ในที่ประชุมอังกฤษ การไม่มีตำแหน่งทำให้คุณหายจากห้อง คุณยังให้เกียรติคนตัดสินได้ โดยไม่ทิ้งสมองทิ้งไว้ข้างนอก

6. I’ll try my best

Thai in the head: จะพยายามอย่างเต็มที่ค่ะ

Not this
“I’ll try my best to finish it.”

Use this
“I can finish the brief by 5 p.m. The full report would need tomorrow.”

Pragmatic note
I’ll try ไม่ใช่คำสุภาพ แต่เป็นคำคลุมเครือ ผู้จัดการไม่ได้ต้องการความตั้งใจ ต้องการขอบเขตของสิ่งที่ทำได้จริง

7. Please kindly revert back

Thai in the head: กรุณาตอบกลับด้วยค่ะ

Not this
“Please kindly revert back at your earliest convenience.”

Use this
“Please reply by 4 p.m.”

Pragmatic note
นี่คือภาษาจดหมายเก่า kindly ซ้อน please, revert back ซ้ำคำ และไม่มีเวลาตัดจบ ดูทางการ แต่ทำงานช้า

8. Sorry for my poor English

Thai in the head: ขอโทษถ้าภาษาอังกฤษไม่ดี

Not this
“Sorry for my poor English. I would like to ask about the deadline.”

Use this
“Could we confirm the deadline? I have Friday as the delivery date.”

Pragmatic note
ถ้าข้อความชัด ไม่ต้องมีประโยคนี้ มันชวนคนมาสนใจจุดอ่อนแทนงาน ความสุภาพที่ดีกว่าคือประโยคสั้นและถูกเรื่อง

9. Do the needful

Thai in the head: ช่วยดำเนินการตามที่เหมาะสมด้วยครับ

Not this
“Please do the needful.”

Use this
“Please send the signed form today.”

Pragmatic note
ผู้รับไม่รู้ว่า “ที่เหมาะสม” คืออะไร งานเดินได้เมื่อคำสั่งบอกของและเวลา

10. As per my last email

Thai in the head: ตามอีเมลฉบับที่แล้ว

Not this
“As per my last email, I still need the file.”

Use this
“I still need the August file by 1 p.m. If you don’t have it, who else should I ask?”

Pragmatic note
ประโยคนี้มักฟังเหมือนจับผิด ใช้ได้เฉพาะเมื่อน้ำเสียงทั้งฉบับนิ่งมาก และงานถูกบล็อกจริง ๆ การทวงที่ดีคือสั้น มีเวลา และมีทางออก

Phrases you can keep

Keep this When
Sorry I missed the 3 p.m. send. You actually missed it.
Sorry for the wrong attachment. You sent the wrong file.
Is this a good time? You call or message after hours.
Just circling back… Only if a deadline comes next.
When you have a chance Only if the task has no real cutoff.

Repair formula

Apologize once. Name the effect. Say the fix. Give the time.

Sorry I sent the old file.
The client now has the wrong figures.
I’m sending the corrected file now and will call them by 2 p.m.

One-minute rewrite

Take the last English email you sent. Highlight every sorry, just, maybe, kindly, and whenever. Delete the ones that do not repair a real mistake. Put the ask and the time in the first three lines. Send that version next time.

Cultural insight

Did you know?

Thai politeness often protects the other person by making the speaker smaller. Workplace English more often protects the other person by making the next action clearer. You can keep respect. Move it from self-reduction to responsibility.

A peaceful workplace is not a workplace with no requests. It is a workplace where requests do not injure dignity on either side.
